CASE STUDY — E-commerce

A fast-growing trading card accessories business navigating rapid scale — and needing its people function to keep pace.
THE CHALLENGE
30
employees at engagement start
Vault X's growth had been remarkable, but rapid scale brings complexity. The business had outgrown its ways of working, and without a structured people function, inconsistencies were beginning to show across processes, leadership, and employee experience. Vault X knew the business they wanted to become — and they needed the people infrastructure to match that ambition.
HOW WE WORKED TOGETHER
The approach.
Maat took on a dual role at Vault X, leading a structured People Transformation Project whilst simultaneously managing the day-to-day people function — keeping on top of staff wellbeing, development, and the people moments that matter in a fast-moving business.
The transformation work is broad in scope and deliberately sequenced, starting with the foundations — recruitment, onboarding, and performance — before moving into culture, leadership development, and long-term people strategy. We established working partnerships with specialist recruitment and compliance partners, and implemented Motivational Maps through the Mojo platform to deepen understanding of what drives individual team members, supporting a more tailored approach to employee engagement.
Throughout, Maat has worked as a true partner to the CEO — acting as a confidant, sounding board, and senior people lead with genuine commercial awareness of what the business is trying to achieve.
THE IMPACT
What changed.
The project is in its early stages, but the right foundations are being put in place. Onboarding has been reviewed and improved, a clear 1:1 framework is in place, and Motivational Maps have given the business a richer understanding of what drives its people. Compliance work is underway, and strong specialist partnerships have been established to support the recruitment and legal aspects of the people function.
The business feels more structured and joined up than it did at the start. Leaders feel better supported, the CEO has a genuine thought partner in people decisions, and the team are beginning to feel the difference of a more considered, intentional approach to their experience.
The foundations are in place. The transformation is underway.
Voices from Vault X
"
At Vault X, one of the things I'm most proud of is the positive culture we've built. Culture breeds motivation; motivation fuels productivity. The challenge of scaling at pace is protecting that culture while adding the people processes and structure the business needs. That's where Maat have been invaluable. They've embedded in the team, learned how we work, and rolled out process in a considered way — tailored to our values and never at the expense of compliance.

Working with Maat has been an asset across all things people-related. The approach is diligent and thorough when it comes to building new processes, and collaborative throughout — focused on finding what actually fits the business rather than what looks good on paper. On a personal level, Haydan is a pleasure to work with: friendly, approachable, and as a line manager, someone who understands the challenges we face and offers a balanced, supportive perspective when I need it.

Working with Maat is always a joy — a breath of fresh air in the working day. As an employee, I have complete confidence in being able to raise something big or small with Haydan, knowing it'll be met with the same care and respect either way. Knowing Maat is there for the whole team is reassuring — we're all supported, personally and professionally.
